eBay integration & automation

Orders from your eBay listings become deals in the CRM, shipments with tracking numbers go back to eBay, and the quantity in your offers on every eBay marketplace follows your warehouse.

eBay is where many sellers reach buyers in the US, Germany, the UK and other countries from a single seller account. Orders live in the eBay seller account, buyers write through eBay messages, and the same goods are often sold on the seller's own site as well, so the manager keeps three windows open and copies by hand. The connection brings every completed eBay order into the CRM as a deal with the buyer, the items and the delivery address; when the warehouse marks the order shipped in the CRM, the shipment with the tracking number goes back to eBay; the available quantity in your eBay offers stays in step with your stock; and a refund issued on an order changes the deal status. The manager works in one place instead of three.

What we connect

  • You register in the eBay Developers Program with your company email. eBay confirms the account separately rather than instantly, and the application keys are issued in two sets — one for eBay's test environment and one for live selling.
  • Before the first live request, we subscribe the connection to eBay's notices about buyer accounts being deleted or closed, or file the official opt-out. eBay requires this from every new integration; without it the developer access can be switched off.
  • You, as the seller, press 'Agree' in eBay: eBay shows the list of permissions the connection asks for, and you confirm them all — the integration cannot act on your behalf until you do. After that the access renews itself; eBay does not ask you again.
  • We map eBay to your CRM: an eBay order becomes a deal, the buyer becomes a client card, order lines become CRM products, and every deal carries the label of the country marketplace it came from — eBay US, eBay Germany, eBay UK.
  • We subscribe to the events eBay sends on its own — order confirmations, listing changes, feedback received — check every message against eBay's public key so nothing forged gets in, and only then create or update the deal.
  • We test everything in eBay's test environment first, then switch to the live keys, re-check the permission list on the live side (it can differ from the test one) and watch the first orders together with you.

Automation scenarios

01

A new eBay order becomes a deal by itself

Before the manager opens the eBay seller account several times a day, copies the buyer, the items and the address into the CRM by hand, and an evening order waits until morning.

After as soon as the buyer completes checkout, a deal with the buyer's card, the order lines, the delivery address and the marketplace label appears in the CRM, and the warehouse sees it at once.

02

Shipped in the CRM — shipped on eBay, with the tracking number

Before the warehouse packs the parcel, then someone opens the order on eBay, marks it shipped and types the tracking number a second time — or forgets, and the buyer opens a case.

After the warehouse marks the order shipped in the CRM and enters the tracking number once; the connection records the shipment on eBay, and the buyer sees the tracking in their eBay account.

03

eBay stops selling what the warehouse no longer has

Before the same item is listed on eBay US, eBay Germany and the seller's own site; quantities on eBay are corrected once a week, and the last unit is sold twice.

After the CRM holds the single stock count, and every change is written into the available quantity of the matching eBay offer on each marketplace, so the listing shows what is really on the shelf.

04

A refund changes the deal status, not just the eBay screen

Before a refund is issued on eBay, but the CRM still shows the deal as won, the report counts it as revenue and the warehouse does not know the item is coming back.

After a refund on the order — full or for part of the lines — moves the deal to the agreed status in the CRM, adds a note with the reason, and the warehouse sees the return in its queue.

05

eBay tells the CRM itself — no one polls it by hand

Before to notice a new order, a changed listing or a new piece of feedback, someone refreshes the eBay pages all day, and on a busy day the daily request allowance is spent on checking rather than selling.

After eBay sends a notice the moment something happens, the connection verifies it and updates the deal, and requests to eBay are made only when there is something to do.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • eBay's official order interface lets a seller manage an order from the buyer's checkout to completion, in line with the payment method and timing chosen at checkout.

  • There are separate methods for the order list, a single order, a refund on an order and the shipping fulfillment record — the latter is how the CRM records that the parcel has left.

  • The Inventory API creates and maintains inventory item records — description, condition and available quantity — and turns them into offers on eBay marketplaces.

  • The Notification API delivers events — order confirmations, listing revisions, feedback received, user account changes; an application can list topics, set destinations, create filtered subscriptions and verify each message against eBay's public key.

  • The seller grants access through OAuth: eBay shows the set of permissions (scopes) the application asks for, and the seller must consent to all of them before the integration can act on their behalf.

  • Each country has its own marketplace ID — EBAY_US, EBAY_DE, EBAY_GB and so on; orders and items are tied to a specific marketplace.

Limits

The first requirement comes from eBay, not from us: before the connection makes its first live request, it must subscribe to eBay's notices about buyer accounts being deleted or closed — or file the official opt-out; otherwise eBay can switch the developer access off. Requests to eBay are limited per day: the default allowance is designed for individual sellers and smaller businesses (the order methods, for example, allow 100,000 requests a day), and a higher allowance is granted only after eBay reviews the application in its Application Growth Check — we cannot raise it ourselves, so the connection relies on eBay's own event notices rather than asking eBay again and again. Only orders that have completed checkout reach the CRM: a purchase still waiting for upfront payment is not returned by eBay. To publish an offer through the connection, the seller must have eBay business policies switched on — payment, shipping and returns — because every offer has to reference all three. The developer account is confirmed by eBay separately and, by eBay's own note, takes about one business day; registration must use a company email, and the application keys for the test environment and for live selling are separate, as may be the permission sets, so what worked in the test has to be re-checked on live keys. Access granted by the seller is short-lived by design — two hours — and renews itself without asking the seller again.

How to start

Three steps from a first message to work on your project.

  1. 01

    Leave a request

Describe the task in the form — in text or by voice. Budget and timing are optional.

  2. 02

    We review and estimate

A developer studies the brief, asks about anything unclear and sends an estimate.

  3. 03

    We start

Once scope and price are agreed, the work begins.

Questions

We sell on eBay US, eBay Germany and eBay UK. Can all of them go into one CRM?
Yes. Every eBay order and every item is tied to a specific country marketplace, and the connection reads that marker. Deals from all marketplaces land in one CRM, each with the label of the country it came from, so you can filter and report by marketplace without keeping separate systems.
The buyer says they bought the item, but there is no deal in the CRM. Why?
Most often the purchase has not completed checkout yet: eBay returns only orders with completed checkout, and a purchase that is still waiting for upfront payment is not in the list. As soon as the buyer pays and eBay confirms the order, it appears in the CRM. If the order is confirmed on eBay and still missing, we look at the notification log together.
Do we need to change anything in our eBay listings or seller account?
The listings stay as they are. Two things are needed from your side: you press 'Agree' in eBay when it shows the list of permissions the connection asks for, and, if you want the CRM to publish or update offers, eBay business policies for payment, shipping and returns must be switched on in your seller account — eBay does not let an offer be published without them.
We have a lot of orders. Will the daily request limit stop the connection?
The default allowance is set by eBay for individual sellers and smaller businesses, and only eBay can raise it, after its Application Growth Check. That is why the connection does not poll eBay: eBay itself sends a notice when an order is confirmed or a listing changes, and the connection makes a request only when there is something to read or write. If your volume outgrows the default, we prepare the growth check request with you rather than promise a number we do not control.
