Xero integration & automation

Your company keeps its books in Xero? We make sales, payments and bookkeeping talk to each other

Xero is cloud accounting that is most widespread in the UK, Australia and New Zealand. If your company is registered or trades there, or in the EU, and your books live in Xero, we connect it to your CRM, online store and payments. Invoices are created from deals on their own, customers stay the same in every system, and the accountant stops retyping what sales already entered. We are upfront: Xero has no Ukrainian tax edition, so this page is for businesses whose accounting is kept abroad.

What we connect

  • A deal marked as won in your CRM turns into an invoice in Xero, with the customer and line items already filled in.
  • Customers and companies stay the same in the CRM and in Xero: a new contact added in one place appears in the other.
  • When an invoice is paid, the deal in the CRM gets the status on its own, so managers see who has paid without asking the accountant.
  • Orders from your online store arrive in Xero as sales, instead of being copied from the store's admin panel.
  • Customers can pay an invoice online by card or digital wallet through Stripe.
  • Overdue invoices from Xero appear as tasks for the manager responsible for the customer.

Automation scenarios

01

Sales and accounting live apart

Before after every closed deal a manager emails the details and the accountant retypes them into Xero.

After the invoice appears in Xero as soon as the deal is closed.

02

Nobody knows who has paid

Before managers ask the accountant every week which customers have paid.

After the payment status from Xero is visible right in the deal card.

03

Online store orders pile up

Before at the end of the month someone exports orders from the store and loads them into Xero by hand.

After every order is recorded in Xero on its own when it is placed.

04

Two customer lists that never match

Before the CRM and Xero each have their own version of a customer's name and address.

After one customer card is kept in sync in both systems.

How it works technically

For those who want to check: each point links to the official documentation page it comes from.

  • Xero is cloud accounting that, according to the vendor, serves 5 million customers in 180+ countries and leads cloud accounting in New Zealand, Australia and the UK.

  • Access goes through OAuth 2.0 with a registered app; Xero has no simple API keys.

  • Bank accounts connect to Xero so transactions flow into the books automatically.

Limits

Xero's regional editions and tax features target the UK, Australia, New Zealand and the US. We found no Ukrainian tax edition or Ukrainian reporting in Xero's materials, so we don't use it for accounting of a Ukrainian company — this page is for businesses whose books are kept in the UK or the EU. Access can be switched off after a long pause: an unused connection expires after 60 days and the owner has to confirm it again. Direct machine-to-machine connection without a user is offered only for organisations in Australia, New Zealand, the UK and the US. Only a Xero user with the Connected Apps permission can connect us. Xero limits how many organisations a newly registered app can connect, and its terms forbid bots that imitate a person in the interface — we work only through the official connection.

Questions

Can a Ukrainian company keep its accounting in Xero?
We don't recommend it: we found no Ukrainian tax edition or Ukrainian reporting in Xero. Xero makes sense if you have a company in the UK or the EU; for Ukrainian accounting we connect Ukrainian systems such as BAS.
Which Xero plan do we need for the connection?
Xero allows connections on all its plans, but what is available depends on the plan: for example, the simplest plans have no invoicing and payroll needs a separate plan. We check your plan before we start.
Who on our side has to give access?
A Xero user with the Standard, Adviser or Administrator role and the Connected Apps permission — usually the owner or the accountant. It takes a couple of clicks in Xero, and access can be revoked at any time.
Will the connection slow down our work in Xero?
No. Xero sets how many requests an app may send per minute and per day, and we build the exchange to stay within those limits and fetch only what has changed.

Tell us what needs to be connected

Describe the task in text or a voice message. We look at your setup and reply with a plan.
